How Microsoft 365 AI features help your business work smarter

When we talk about AI in the context of Microsoft 365, we mean tools that can understand your emails, documents, calendar, or data and help you get things done more efficiently.   

It’s not “thinking” like a human, but it is good at spotting patterns, summarising long information, generating drafts, and suggesting next steps based on the context of your work.  

For example, AI in Outlook can summarise a lengthy email thread into a few bullet points. In Excel, it can analyse your sales data and give you trends or forecasts. And in Word, it can turn your notes into a polished report in seconds. 

Pros of using Microsoft 365’s AI features 

  • Save time by automating repetitive tasks like drafting emails, summarising documents, or building reports. 
  • Boost productivity with smarter workflows, better data insights, and fewer manual steps. 
  • Improve quality by using tools that help catch inconsistencies or errors and make suggestions. 
  • Accessible – many tools are built into apps you’re already using, with no need to switch platforms or learn something new. 

Cons or limitations to be aware of 

  • It still needs your input – AI can help, but it’s not perfect. You still need to review and adjust. 
  • Licensing can vary – Some features like Copilot may require an additional licence or Enterprise plan. 
  • Setup matters – If your Microsoft tools aren’t well-configured, the AI won’t be as useful as it could be. 
  • Privacy considerations – AI tools rely on access to your data. It’s important to configure permissions and settings properly to keep sensitive info secure. 

What AI features are available in Microsoft 365? 

If you’ve got a Microsoft 365 Business Standard or Premium subscription, you already have access to a growing number of AI-powered features with no extra tools or downloads needed. Here’s what you can tap into right now (or very soon):

Copilot  

Copilot is Microsoft’s most visible AI tool. It works by pulling together the information you already have in your emails, chats, and files, then helping you take action based on that data. 

Microsoft Copilot works alongside you in the apps you already use. It helps you write, summarise, analyse, and respond—faster.  

  • Word – Drafts documents, rewrites paragraphs, summarises reports. 
  • Excel – Analyses data, builds charts, generates formulas. 
  • Outlook – Summarises emails, drafts responses, prioritises inboxes. 
  • PowerPoint – Builds slide decks from existing content or bullet points. 
  • Teams – Summarises meetings and chats, pulls out action items

Microsoft Designer 

Need to create a graphic for a LinkedIn post? Or a quick flyer for an event? Or maybe an internal presentation that doesn’t look like it was made in a rush? Microsoft Designer is your shortcut to polished visuals, even if design isn’t your thing. 

Powered by AI, Designer takes your text or ideas and instantly turns them into professional layouts. You can ask it to generate images, suggest colour schemes, or match your brand style. It’s perfect for small business owners who want their content to look good, without paying for a graphic designer or spending hours in Canva. 

How you can use it:  

  • Create branded social media posts in minutes. 
  • Generate marketing materials for promos or events. 
  • Build email headers or banners that actually look professional.  

You’ll find it especially handy if you’re doing your own marketing or want something that looks “designed” without learning design tools. 

Loop

Instead of juggling a dozen document versions or long email chains, Loop lets you create shared workspaces where everyone sees live updates.  

AI features in Loop help summarise notes, keep track of actions, and sync content across Word, Outlook, and Teams automatically. You can drop “Loop components” (like checklists, status trackers or text blocks) into chats or emails, and they update everywhere.  

How you can use Loop: 

  • Brainstorm ideas and share updates with your team in one place. 
  • Track tasks across multiple projects or meetings. 
  • Automatically generate summaries and next steps.  

It’s great for teams who often lose time following up or rehashing the same info over different platforms.

Power Automate with AI Builder 

Power Automate helps you build workflows that save time. Add AI Builder into the mix, and now your workflows can think, not just follow instructions.  

AI Builder can analyse content, classify data, understand language, and extract key information, allowing you to trigger custom workflows based on what the AI sees.  

How you can use it: 

  • Scan invoices or forms and automatically enter data into your accounting system. 
  • Detect customer sentiment in emails and flag urgent messages. 
  • Route service requests to the right team based on content.  

This is perfect for small businesses that deal with repetitive admin tasks, incoming requests, or document handling and want to streamline processes. 

Microsoft Search 

Microsoft Search is built into your Microsoft 365 apps and uses AI to deliver smarter, more relevant results. Instead of scrolling through folders or digging through emails, just type what you’re looking for, even if you can’t remember the exact name.  

It searches across Outlook, Teams, OneDrive, SharePoint, and other Microsoft tools, bringing back results based on what’s most relevant to you.  

How you can use Microsoft Search: 

  • Find that proposal from three months ago (even if you only remember the client’s name). 
  • Quickly locate chats or meeting notes related to a specific topic. 
  • Search for documents shared across Teams without opening every channel.

Delve and Viva Insights 

These tools work in the background to help you stay on top of your work and yourself.  

Delve is like a personal assistant that shows relevant documents, links, and contacts based on what you’re working on. It learns your patterns and helps you pick up where you left off without needing to bookmark or organise everything manually.  

Viva Insights focuses on wellbeing and productivity. It uses AI to analyse how you and your team work and gives suggestions to: 

  • Block focus time on your calendar. 
  • Take regular breaks. 
  • Avoid burnout. 
  • Improve work/life balance. 
  • Track habits like after-hours email or meeting overload.  

How to use it:  

  • Keep tabs on team collaboration and identify who’s at risk of overload. 
  • Prioritise important tasks without the mental clutter. 
  • Build healthier, more sustainable work routines.  

These features are especially useful for small businesses where people wear multiple hats, and where looking after your team (and yourself) matters just as much as getting through the to-do list.
