Microsoft Bookings – the scheduling tool already included in your Microsoft 365 subscription
Tired of back-and-forth emails just to set up a meeting?
For many small business owners, scheduling appointments is an admin time-suck that gets in the way of actual work – often feeling like a game of calendar ping-pong.
What if you could let people book straight into your calendar, without the chaos?
Meet Microsoft Bookings – your built-in scheduling assistant
Microsoft Bookings is an online appointment scheduling tool included in many Microsoft 365 Business subscriptions. That’s right. You might already be paying for it and not using it.
It’s designed to make scheduling easier for you, your staff, and your clients by creating a custom booking page where people can pick a time that works for them (and for you).
Here’s what Microsoft Bookings can do for your business
1. Let people book appointments online without needing to talk to you.
Your clients, customers, or colleagues can self-book appointments through your online booking page. You choose the services, the times, and the rules. No more emails back and forth. No more phone tag.
2. Automatically send confirmations, reminders, and updates.
Once an appointment is booked, Bookings takes care of the admin. Clients get confirmation emails, calendar invites, and automatic reminders. You get fewer no-shows and more time back.
3. Prevent double bookings and calendar conflicts.
Microsoft Bookings syncs with Outlook calendars so it knows when your team is already busy. That means no accidental double-ups and no awkward reschedules.
4. Set working hours, assign staff, and manage leave.
You’re in control of when people can book and who they can book with. Want to block out Friday afternoons or assign certain services to certain staff? Easy. Going on leave? Add it to the calendar and Bookings will take care of the rest.
5. Customise services to reflect your business.
You can offer multiple services, each with different durations, pricing, and team members. Whether you’re running IT consultations, training sessions, or site visits, you can set it up your way.
Who is Microsoft Bookings best for?
If you’re a small business that:
- Books appointments with clients
- Manages a team that needs scheduling
- Wants fewer interruptions and more automation
- Already uses Microsoft 365
…then Bookings is worth a look.
How does Microsoft Bookings compare to other booking platforms?
There are plenty of online scheduling tools out there like Calendly, Acuity, SimplyBook.me, and Setmore. So how does Microsoft Bookings stack up?
Why Microsoft Bookings stands out (especially if you already use Microsoft 365)
- Included in your subscription: If you already pay for Microsoft 365 Business Standard or Premium, Bookings won’t cost you anything extra.
- Fully integrated with Outlook and Teams: It syncs directly with your staff calendars and Microsoft Teams, making it easy to manage meetings, avoid double bookings, and even run virtual appointments in Teams.
- Customisable services and staff availability: Set up different appointment types, prices, staff members, and working hours — just like paid platforms offer.
- Branded booking pages: While it may not be quite as design-polished as some third-party tools, you can still customise it with your logo, business colours, and service info.
- Built-in security and data compliance: Because it’s part of the Microsoft 365 ecosystem, it benefits from the same enterprise-grade security and compliance settings already in place.
Common mistakes to avoid when setting up Microsoft Bookings
Microsoft Bookings can be a huge time-saver — but only if it’s set up properly. Here are some of the most common setup mistakes small businesses and not-for-profits make (and how to avoid them):
Forgetting to sync staff calendars
If your calendar isn’t connected properly, Bookings won’t know when you’re already busy — and you could end up double-booked. Make sure each team member links their Outlook calendar to Bookings so availability stays accurate.
Not blocking out leave or unavailability
Staff heading away for a long weekend? Taking a sick day? Unless you mark that time as unavailable, Bookings will keep offering those slots to clients. Set up recurring leave or update availability regularly.
Leaving service details too vague
It’s tempting to keep things simple, but generic service names like “Meeting” or “Consult” don’t tell your client what to expect. Add service descriptions, estimated durations, and price (if relevant) so there are no surprises.
Not customising your confirmation and reminder emails
By default, the system emails are basic. Take a few minutes to personalise them. Include helpful info like directions, documents to bring, or your cancellation policy. It helps clients feel looked after and saves you follow-up calls.
Creating one-size-fits-all availability
Don’t offer the same time slots for every service or team member. Tailor availability so each booking type reflects the actual time and person required. For example, 15-minute check-ins might only be available on Wednesdays, while in-depth sessions could be 60 minutes and staff-specific.
